Conversations with counterparties

In the Conversations filter of the Events section, you can filter the system objects that are used to communicate with the selected Contact (employee) of the counterparty.

Record agreements in your communication with the counterparty to avoid misunderstandings and increase mutual trust.

All incoming information from the Counterparties will be sent to Active Events.

The name of the organization and positions that are made available to an external contact may differ from the corresponding names in the functional organizational structure. Use the capabilities of the Legal structure for this. Read more about this in the corresponding article.

In addition, the name of the organization, position, and first and last name of the employee will be available by their international names if they are configured in the source company. Read more about this in the corresponding article.

Selecting an external contact

To send a message, send a document, or open access to an event or file, in the Recipients field, select the tab with the globe icon and start entering the name of the contact or the name of the counterparty, and the system will quickly search for results.

Online status of an external contact

The system displays the online status of an external contact. If the contact was online but is not currently active in the system interface, the popover with information about the contact will show the last time he or she was online in the system.

Indication of documents with external access

The "External access" icon (globe) means that counterparties have access to the object. Information about the document that is available to counterparties:

  • responsible, topic and description

  • document card and files to be signed

  • signatures of the Signature type only

  • events and files that were explicitly accessed.

This information is synchronized across all counterparties that have access to the object. If the counterparty has been deactivated by you, it can still receive updates to the object if it has communication with other counterparties that have access to this object.

The difference between an external contact and an employee

The avatars of counterparties and their contacts (employees) in the interface differ from the avatars of company employees - they are shown in a square shape instead of a round one. System objects with external access are marked with a globe icon and a corresponding information plate.
